What a waybill label carries, why every field matters at the sorting hub, and what happens when one of them prints badly.

Waybill labels are the transport document of a parcel, printed on adhesive stock instead of a paper form. Every field on them exists because a machine or a person downstream needs it. This is what each one does.

From carbon paper to adhesive stock

Fifteen years ago a waybill was a triplicate pad with carbon sheets. One copy for you, one for the driver, one for the recipient.

Automated sorting killed the pad. A sorter reads barcodes, not handwriting, and a barcode has to be printed. Printed documents on parcels are labels. That is the whole history.

What waybill labels carry, in scanning order

  • Routing code. A short depot code, printed large. The first thing a hub scanner and a human sorter both look for.
  • Tracking barcode. Scanned at every handover. This is the parcel's identity for its whole journey.
  • Consignee. Name, address or pickup point, phone for the delivery notification.
  • Sender. Used for returns and for refused deliveries.
  • Weight and piece count. Checked against the manifest.
  • COD amount, where cash on delivery applies.

What happens when one field prints badly

The parcel leaves the automated line and goes to manual handling. That is typically a full day added, sometimes two over a weekend.

Almost all of these come from three causes: a dirty printhead leaving a white stripe through the barcode, printhead temperature set too high so the bars bleed together, or the wrong media size in the driver so the bottom of the label is cut off.

Sizes across European carriers

The de facto standard is 100 x 150 mm, the metric equivalent of the 4 x 6 inch label used worldwide.

DHL, DPD, GLS, UPS, FedEx, Evri and InPost all generate labels at this size. A few national carriers use shorter formats, so check the specification before your first carton — not after.

Printing from your own system

Every major carrier publishes an API or a plugin for the common e-commerce platforms. The order supplies the address and the carrier returns print-ready waybill labels.

Setup takes an afternoon once. After that nobody retypes an address, and mistyped addresses are where most returned parcels come from.

When printing your own is worth it

The line sits at roughly ten parcels a day. Below it, letting the carrier print at the counter is simpler.

Above it the arithmetic reverses. Each parcel processed at a counter costs two or three minutes of queueing. At twenty parcels that is an hour of somebody's day, every day.

Yes. It is the transport document that binds sender, carrier and consignee, which is why it carries a signature or proof-of-delivery field.
